JOB SUMMARY:
The Philanthropy Assistant supports the fundraising and constituent communication activities for the Philanthropy & Membership department.
ESSENTIAL DUTIES:
The primary responsibility of the Assistant is to record and process gifts, grant revenue and memberships, and resulting donor communications.
- Process acknowledgements efficiently, accurately, and within the prescribed acceptable turnaround time.
- Process membership applications and coordinate subsequent mailing services including membership cards and renewals.
- Update data in records and record and track activities or pertinent information as necessary.
- Assist in administration and execution of philanthropy & membership events including RSVPs, event set up, and event staffing.
- Provide front line donor & member relations support via telephone, email, and in person.
- Support the Philanthropy & Membership team with administrative tasks including expense reports, budget tracking, constituent communications and other tasks.
- Aid in the development of philanthropic support in person, via telephone, and through email.
KNOWLEDGE, SKILLS AND ABILITIES:
- Strong written and verbal communication skills.
- Ability to exemplify superior customer service skills in a service-oriented environment and to project a positive, professional image to the public.
- Excellent time management skills to handle a variety of assignments simultaneously under a variety of deadlines and other constraints.
- Ability to understand and interpret instruction to work effectively, efficiently and independently with minimal supervision as well as part of a team; natural problem-solving ability.
- Attention to detail and accuracy with regard to handling data and executing reports.
- Ability to manage sensitive and confidential information with integrity and confidentiality.
- Proficiency in Microsoft365 programs; preference given for candidates with donor database experience.
EDUCATION AND EXPERIENCE:
- Associate degree or above
- A minimum of one-year formal experience working in a nonprofit, preferably in philanthropy or membership.
- Solid writing and editing experience.
- Thorough knowledge of principles of effective communication.
WORKING CONDITIONS:
- Continuous communication and/or interaction with staff, volunteers, visitors and management.
- Occasional evening, weekend and/or holiday work may be required to support departmental goals.
- Occasional travel for departmental business.
- Occasional bending, stooping, reaching, crouching or light lifting (up to 30 lbs.).
- Prolonged periods sitting performing administrative functions.
